Job Description (E)
Position Purpose
Reporting to the Supervisor Vaccination Clinics, is responsible for the daily scheduling of large numbers of operations staff across multiple scheduling patterns, locations and shifts and collecting and reporting on data, as required; utilizing effectively, the computerized scheduling software (ScheduleSoft) and other computer aided systems.
MAJOR RESPONSIBILITIES
- Schedules, confirms, and verifies the daily, weekly and monthly scheduling of immunization clinic staffing, including both school and community based immunization clinics, regular business and as part of public health emergency response, through the use of specialized computerized scheduling software (ScheduleSoft).
- Assigns staff in order to maintain daily operations and to provide coverage for vacation, sick leaves, escort duties, special events, attend training or participate in professional development.
- Maintains the allocation of staff resources, including documentation, record keeping, and data entry using ScheduleSoft and Microsoft Office applications.
- Performs regularly scheduled data maintenance procedures.
- Updates ScheduleSoft staffing schedule with information on new hires, transfers and leaves of absence.
- Administers the casual availability system through the distribution and collection of casual staff availability through the Staff Kiosk and ScheduleSoft, in order to schedule casual staff.
- Assists the Supervisor with preparing performance reports related to operational scheduling.
- Provides statistics on availability of casual staff and communicates instances of non-compliance of the availability requirements to management.
- Generates ad-hoc reports for management related to the scheduling of operational staff.
- Responds to inquiries and resolves concerns, as appropriate, from employees, management etc.
- Ensures that services provided meet Regional customer service standards.
- Participates in the Continuing Quality Improvement (CQI) process to identify ways to improve the model.
- Performs other duties as assigned, in accordance with Branch and Department objectives.
Qualifications
- Successful completion of a Secondary School Diploma or approved equivalent combination of education and experience.
- Minimum two (2) years related experience daily scheduling of large numbers of employees for shifts in various locations.
- Understanding of scheduling techniques/methods.
- Familiarity with collective agreements, legislation, policies and procedures.
- Knowledge and demonstrated ability in corporate core competencies including customer focus, communication, collaboration and personal ownership.
- Computer literacy in Scheduling Software and MS Office applications, including intermediate proficiency in word processing, spreadsheet, scheduling, Access and the Internet.
- Ability to work effectively independently or as a part of a team.
- Ability to pay attention to detail and to organize, prioritize and multi-task.
- Ability to work well in a high volume and fast-paced environment and meet tight deadlines.
- Ability to train multiple users on scheduling software, as required.
- Ability to travel to off site locations in a timely and efficient manner, as required.
